Cloud-Based Fleet Management System - Supplier Engagement Notice

Wrexham County Borough Council is seeking a cloud-based Fleet Management System to support management of approximately 500 vehicles across multiple locations, including cars, vans, and HGVs. The council currently faces challenges with limited fleet visibility, manual processes, and compliance tracking for MOTs, servicing, and driver checks. The successful supplier must provide a SaaS solution accessible via web browser without local installation requirements. Key deliverables include system implementation, data migration from existing systems, user training, and ongoing support. Required functionality encompasses: automated maintenance scheduling and compliance tracking; defect reporting and resolution; real-time dashboards and reporting (KPI, utilisation, costs); vehicle off-road status monitoring; digital driver vehicle checks; workshop management with job allocation and stock control; authorization and invoicing systems; and compliance with Health and Safety, LOLER, PUWER, and DVSA standards. Integration with DVLA for tax and MOT dates is preferred. Optional telematics features (GPS tracking, route optimization) would be advantageous.
