    Brief

West Yorkshire Fire and Rescue Service (WYFRS), the UK's fourth-largest fire and rescue service serving 2.2 million people across 800 square miles with approximately 1,500 staff, is seeking expressions of interest for a Computer Aided Facilities Management (CAFM) System. This is a pre-market engagement opportunity to assess supplier capabilities and market interest ahead of a formal tender expected in August/September 2026. The contract will run for a minimum of 3 years with optional extensions up to a maximum of 5 years, with an estimated budget of £200,000-£250,000 for the full term. WYFRS requires a CAFM solution compatible with its existing ICT infrastructure that supports asset management, compliance monitoring, planned and reactive maintenance, workflow management, and reporting. The current contract expires in August 2027, and WYFRS aims to understand how suppliers can improve operational efficiency and support wider organisational requirements. Interested suppliers should email their expression of interest to tenders@westyorksfire.gov.uk by 31 August 2026, including contact details, framework affiliations, confirmation of capability to deliver core requirements, capacity to meet the implementation timeline, budget feedback, and contract length feedback. Suppliers are also encouraged to register with WYFRS's E-Procurement system 'In-tend' to access official tender documentation upon publication. Please note this RFI is not a competitive call and WYFRS reserves the right to hold further discussions with suppliers before any formal tender process.
