IT Services for Event Registration and Management

Aarhus University is seeking a solution to manage event registrations for conferences, events, and meetings. The current system supports approximately 300 users and allows event organizers to communicate with participants. The solution must facilitate payment processing for both internal and external attendees, with an annual revenue of around 25 million DKK (excluding VAT). Annually, about 2,400 events are created, one-third of which are paid events, resulting in approximately 80,000 registrations (60,000 unique) and 16,000 paying participants, each requiring individual invoices. The solution should integrate with Microsoft Dynamics CRM and Navision Stat. The goal is to maintain a professional approach to internal and external events, enhancing efficiency and professionalism. The system must provide comprehensive oversight of registrations, participant choices, communication, and financial management. It is crucial that the solution can handle a large number of concurrent users and is user-friendly for various skill levels. Aarhus University will manage first-level support, while the supplier will provide second-level support, operation, and maintenance. The contract will be awarded to one supplier, and it is not divided into lots as it is deemed commercially unviable. There are no specific requirements for green or sustainable solutions.
