ERP System Services for the Palace of Fine Arts

The Palace of Fine Arts in Brussels is seeking suppliers for a framework agreement to provide an integrated ERP system. This includes the delivery, installation, training, and maintenance of the system. The project is divided into two parts: a fixed section and a conditional section. The fixed section involves acquiring an ERP software solution to manage various projects (artistic, operational, administrative, etc.), plan activities and staff, handle accounting and financial management, manage personnel, and provide reporting and CRM capabilities. The goal is to enhance collaboration among departments, improve visibility of artistic and event activities, and enable better budget and cost control through customized, real-time reporting. The estimated budget for this fixed section is 980,000 euros excluding VAT over the contract duration. The conditional section may include additional services such as managing tours, overseeing sponsorship, developing a wizard for activity input into the ERP, importing data from the current CRM (Efficy), synchronizing data with ticketing software (Secutix), developing or purchasing a marketing automation solution, creating data transfer interfaces between the ERP and the website, and digitizing other operational processes. This second phase is estimated at 1.5 million euros excluding VAT.
