Portable Equipment Maintenance and Repair Services Contract

Arc Property Services Partnership Ltd is seeking a single contractor to provide comprehensive maintenance, repair, and certification services for portable firefighting equipment across properties in Nottinghamshire, Derbyshire, South Yorkshire, and Leicestershire. Services will include inspection, testing, servicing, maintenance, repair, replacement, and compliance certification of portable fire extinguishers, fire blankets, and related equipment to meet statutory requirements and British Standards. The contractor will perform planned preventative maintenance and reactive repairs, manage asset records, and provide recommendations for equipment replacement. The contract will be managed under NEC4 Term Service Short Contract terms, commencing 1 April 2027 with an initial two-year period (ending 31 March 2029) and optional extensions available for up to six additional years, with a potential maximum term of eight years. The estimated total contract value is £211,200 including VAT over the full potential term. Procurement will use a two-stage process: Pre-Qualification Questionnaire (PQQ) followed by Invitation to Tender (ITT). The contract will be awarded to the Most Advantageous Tender based on 70% quality (technical capability, service delivery, compliance management, mobilisation, customer service, reporting, and social value) and 30% price.
