Royal Borough of Windsor and Maidenhead Events Management Supplier

The Royal Borough of Windsor and Maidenhead (RBWM) is seeking experienced event management suppliers to support the delivery of high-profile ceremonial, civic and nationally significant events over an eight-year period. These may include Royal Visits, State Visits, Royal Weddings, Royal Funerals, National Ceremonies, and large-scale public celebrations that typically attract significant national and international attention, substantial media interest, and large public audiences. Successful suppliers must demonstrate proven experience delivering major public events in complex, sensitive environments such as Windsor town centre, with the ability to maintain business-as-usual activities and minimise disruption. You should have a track record of working effectively with multiple agencies including security services, police, emergency services, the Royal Household, the Crown Estate, central government departments, transport operators and media organisations. Key capabilities required include: managing complex stakeholder engagement and governance; planning and delivering large-scale infrastructure installations (temporary structures, security, media compounds, viewing areas and crowd management systems); developing comprehensive event management plans, operational orders and emergency response procedures; and managing extensive media operations and accreditation for internationally significant events. The appointed supplier must have the organisational capacity and resources to manage events of exceptional scale, potentially exceeding 100,000 attendees. You will need to coordinate multi-agency operations, manage crowd safety and public protection, recruit and manage stewarding workforces of 800+ personnel, and provide experienced event management staff throughout all delivery phases. Business continuity arrangements and the ability to respond to short-notice events are essential. Note: This contract cannot guarantee regular events, as some outlined are unplanned or require short notice.
