KYC Software Procurement Opportunity

The contracting authority intends to procure a Software as a Service (SaaS) solution to be operated over a period of three years, with an option for a one-year extension. The goal is to automate and ensure compliance in the verification of personal and business data of partners according to the Know Your Customer (KYC) principle. This will ensure that all verification processes meet regulatory requirements and effectively contribute to the prevention of money laundering, economic crime, and terrorism financing. The verifications will be conducted both regularly and as needed to ensure full compliance with legal regulations, particularly the Money Laundering Act (GwG). Currently, the contracting authority anticipates a verification volume of approximately 1,000 cases per year, with a projected doubling of this number within the next five years. The implemented solution must demonstrate high scalability to efficiently meet increasing demands. Additionally, data protection and IT security are central requirements. The solution must be compatible with the contracting authority's existing IT systems and allow for seamless integration into current business processes. Comprehensive audit and reporting functionalities are also required to ensure compliance with regulatory documentation obligations. The implementation of the SaaS solution will be closely coordinated with relevant departments to ensure efficient, compliant, and user-friendly usage throughout the contract duration. The software must be evaluated for accessibility, with successful testing by BIM being a prerequisite for acceptance. Regardless of the software's accessibility, a technical clarification meeting will take place, where the software will be presented to a committee selected by BIM Berliner Immobilienmanagement GmbH. During the presentation, a sample verification report for 'STRABAG SE' will be created. This technical clarification meeting serves to assess the software included in the offer according to point 2.3 'Software Presentation' of the evaluation matrix. The technical clarification meeting does not constitute a negotiation meeting as per § 17 Abs. 10 VgV. The presentation will take place approximately 2-3 weeks after the opening date, and bidders will be informed via email. The sample verification report for 'STRABAG SE' must be included with the bid submission. The contracting authority plans to conclude an EVB-IT Cloud contract with a duration of three years, with an option for a one-year extension. Initially, five user accesses will be set up under this contract. However, BIM reserves the right to require additional user accesses during the contract term, which the provider must offer optionally.
